Project Description:

MH is implementing a livelihood project, funded by UNDP, in the city of Basra. The second output of this project aims at implementing eight vocational training courses in sectors of construction, culture, ecotourism and eco-sustainable tourism; twelve business training workshops; and two job fairs. In order to implement such activities, MH is looking for an administrative officer who will be in charge of dealing with the vocational training center.

 

Position Description

The Administrative Officer is responsible for providing day-to-day administrative assistance and fully supports the project, the vocational training center and other officer staff needs promptly. S/he covers basic administrative duties and responsibilities upon request.

 

Responsibilities:

  • Supervise the project activities in the vocational training center

  • Follow-up the participants' requirements

  • Monitor the daily attendance of participants and project staff

  • Responsible for collecting, verifying and processing contractual and financial paperwork and supports logistic/administrative needs for Project

  • Capture photos of the project implementation, places, locations and activities through the use of creativity and technical abilities

  • Controlling & checking attendance sheets of staff

  • Submit weekly/monthly reports to the project Manager

  • Management and follow up of staff vacation and sick leaves and provide necessary forms for staff as needed on daily basis

  • Follow-up of MH administrative standards templates in line with the donor, UNDP, and MH administrative manual/internal regulations

  • Ensure that MH staff have Identification cards (ID) with the period of validity in accordance with the employment contract.
    Creating a project database with all the information including the beneficiaries' information

  • Keeping the project's database safe and not sharing it except at the request of the project manager

  • Creating the project documents required

  • Recommend creative ideas to exceed expectations of goals and objectives

  • Other duties as assigned

 

Qualification & Preferred Skills:

 

Minimum Education: Bachelor’s Degree

Minimum Experience: 2 years working as an Administrative Officer. Previous working experience in humanitarian/recovery contexts.

  • Working knowledge of both Arabic and English, written and spoken

  • Ability to work effectively with a wide variety of people

  • Ability to follow instructions clearly to achieve desired results

  • Ability to coordinate a team

  • Proficient in MS Office software, especially in MS Excel
